Role Purpose

Working within a team in an extremely busy and often pressurised environment. Liaising with crew on a daily basis, ensuring the smooth running of the daily flying program. Advising Crew of changes to rosters and checking crew complements. Also ensuring all outstations and hotels have correct crew lists and allowances.


Ensure that all flights operate with the correct complement of qualified crew and arrange for replacement crew to cover sickness and ‘no shows’

Meeting regulatory requirements to ensure the delivery of a legal flying program
Effective communication to all crew advising of any changes to their published roster
Liaise with Cabin Crew Check-in to keep them informed of schedule changes, amending briefing times and rolling crew from other flights to maintain the correct complements
Complete daily checklist by handover
Responsible for the re-calculation and authorisation of allowances for any programme changes
To manage all Pilot & Cabin Crew duties once rosters go live, ensuring all roster changes are logged and communicated to the crew to reflect up to date data enabling effective management of the flying program
To be responsible for ensuring all positioning Pilots & Cabin Crew are booked and issued with correct documentation to travel on VAA flights/ external carriers to enable crew to passenger to & from destinations that require additional crew for operating purposes
Book and issue tickets for positioning crew
Ensure requirements are adjusted at times of disruption
Booking all ad-hoc transport as required for all operating crew
Maintaining timely answering of calls in line with departmental standards


  • Excellent customer service skills SHARES knowledge desirable though not essential
  • Understanding of fares and ticketing procedures and policies within Virgin and other airlines preferable but not essential
  • Have a good understanding of Crew Management systems, CMS trained Proficient in SHARES/ Babel System
  • Computer literate with knowledge of microsoft word, excel and lotus notes
  • Ability to work methodically, quickly and with professionalism at all times whilst keeping a high degree of accuracy when under pressure
  • Excellent communication and interpersonal skills
  • Some experience of working within a crewing/operations environment desirable
